This policy explains how we handle information about website visitors, people who contact us, business contacts, clients and suppliers.

Information we collect

Depending on how you deal with us, we collect:

  • Enquiries, messages, briefs and other correspondence.

  • Project files and reference material. These may contain personal information such as someone's image or voice.

  • Contract, invoice and payment records.

  • Technical information such as your IP address, browser, device, pages viewed and visit times.

Please send only the personal information needed for your enquiry or project. If you share information about other people, make sure you have a lawful basis to do so.

Where information comes from

You provide information when you email us, send a brief or work with us. Our website services also collect technical information when you visit.

For relevant business outreach, we may obtain professional contact details from agency websites, business directories, public professional profiles or introductions. This can include a person's name, role, employer and published business contact details.

How we use information

We need a lawful basis to use personal information. The basis depends on the purpose:

Legitimate interests means a reasonable business purpose. We assess whether the use is necessary and whether your rights and interests outweigh that purpose.

You can choose whether to provide information. We may need contact details, a brief or billing information to answer a request or deliver a service.

Business outreach

We may contact relevant agency or business contacts about our product-video services. We use professional information to assess relevance and identify the appropriate contact.

You can object to direct marketing at any time. Reply to our message or email hello@goodapplestudio.com. We stop the marketing and retain only the details needed to respect your request.

Where consent is required for marketing, we obtain it. A public contact listing or professional connection does not automatically provide consent.

Storage and sharing

We store client information on our own computers and local storage, and through Google Workspace and Google Drive.

We share information where needed with these types of recipients:

  • Squarespace, for website hosting and analytics.

  • Google Workspace and Google Drive, for email, communications and cloud file storage.

  • Video-hosting and embedded-media services, which may receive technical information when their players load.

  • Production partners where needed for an agreed project.

  • Professional advisers, insurers or authorities where needed for advice, a legal obligation or a legal claim.

We limit sharing to what is needed. Where a provider processes personal information on our behalf, the required data protection arrangements must apply.

We use AI-assisted and editing tools in production. Before sharing personal project information with a tool or production partner, we assess the proposed processing and agree the relevant arrangements with the client. Tool retention and any training use depend on the provider, account terms and settings.

Where we process personal information solely on a client's instructions, we act as a data processor under our agreement with that client. The client's privacy information explains its purposes and lawful basis. We help route requests about that processing to the client.

International processing

Some providers process information outside the UK, including in the United States. Our use of Google Workspace and Squarespace is subject to their applicable data-processing terms:

Where a restricted transfer requires safeguards, the applicable lawful transfer arrangement is required. Depending on the provider and destination, this can include UK adequacy regulations or approved contractual safeguards with the necessary UK provisions.

How long we keep information

We retain personal information only for as long as needed for its purpose. We use these criteria:

  • Enquiries: while needed to answer the request and manage relevant follow-up.

  • Prospect records: while the contact remains relevant to a genuine business opportunity. We remove unnecessary details when that purpose ends.

  • Client and project records: while needed to deliver the project, provide agreed support and deal with related obligations or disputes. Personal information held solely on a client's instructions follows the agreed return or deletion terms.

  • Accounting records: normally six years from the end of the last company financial year they relate to. Legal requirements can require longer retention.

  • Marketing objections: the minimum details needed for as long as necessary to prevent further unwanted marketing.

  • Website and analytics records: for the periods needed for site operation, security and traffic analysis, taking account of provider retention settings and the type of information involved.

We delete information or make it anonymous when it is no longer needed. Provider backup copies may take longer to disappear under the provider's deletion arrangements.

Cookies and website features

Cookies are small files stored on your device. Similar technologies can also store or access information.

Our site uses Squarespace analytics to understand website visits and improve its content. This can include pages viewed, device and browser information, and how visitors reach the site.

Our cookie banner lets you accept, decline or manage optional cookies. Squarespace non-essential cookies are restricted until you accept them. Essential cookies can operate where needed for the site and its security.

Use the site's cookie-preferences control to change your choice where available. You can also clear this site's cookies in your browser and visit again to make a new choice. Withdrawing consent does not affect processing that was lawful before withdrawal.

Embedded video players can receive technical information when they load and may use their own cookies. Their behaviour depends on the embed and provider settings. Squarespace's consent controls do not necessarily control every third-party service.

Security

We use safeguards appropriate to the information we hold and limit access to people who need it for their work. No website or method of sending information is completely secure.

  • Ask us to delete information or restrict its use.

  • Object to processing based on legitimate interests.
